Minimize downtime
One of the biggest hurdles businesses face when moving locations is downtime. When you aren’t working, it can be difficult to stay profitable. That’s why we recommend a phased move.
- Start with non-essentials. Move your storage, archives, back-office supplies, and anything else you don’t need for day-to-day operations a week ahead of time.
- Schedule the bulk of the move during the weekend. Moving your IT systems, office equipment (desks, chairs, conference room furniture, printers, etc.), on Friday evening or Saturday can allow you to have everything up and running by the start of work Monday.
- Consider remote working. If at all possible, let your employees work from home during the transition, to keep things business as usual.
Plan ahead for the IT transition
A damaged server can be catastrophic. Here are some ways to preemptively protect your data before you transition to a new workplace.
- Ensure all cloud and physical backups are secure before you move a single desk.
- Audit and identify all cables and peripherals and which work stations they go with. You may even be able to encourage your employees to take their own equipment with them when they’re packing up their personal belongings. If an employee wants to move their own computer, monitors, and cables, it can simplify the process for you and make it possible for them to work remotely during the move.
- Contact your service providers 72 hours before your move-in date. Make sure you have the necessary hardware and service location updates before your employees come back to the office.
Decide what’s going where
Keep everything as simple and organized as possible. This will make it easier to stay productive while you’re in transition.
- Don’t pay to move things you aren’t using. Audit your furniture and equipment to determine what you don’t actually need.
- If your discarded items are in good working order, arrange to donate or recycle the items that aren’t making the move.
- Label everything. A color-coded system lets your movers know exactly where everything belongs in the new space.
- Ask your employees to take home anything personal from their desks.
Prepare your employees
Clear communication mitigates some of the moving day chaos. A memo can put employees at ease and make the first day in the new office less stressful. Include information like:
- Directions to the new office
- Where to park
- What will be expected of them
- The process timeline
